Job Description

Core Responsibilities

The day-to-day for a Project Coordinator is a mix of administrative precision and proactive communication.

  • Schedule Management: Maintaining the project timeline and ensuring milestones are met.
  • Stakeholder Liaison: Acting as the primary point of contact for team members, clients, and vendors.
  • Documentation: Managing contracts, meeting minutes, and progress reports.
  • Resource Allocation: Tracking who is working on what to prevent team burnout or downtime.
  • Risk Monitoring: Identifying potential “bottlenecks” before they become expensive problems.

Specialized Focus: Project Costing

In many organizations, the Project Coordinator is the “gatekeeper” of the budget. This involves more than just tracking receipts; it requires constant monitoring of the project’s financial health.

1. Cost Estimation & Budgeting

Before a project kicks off, you’ll assist in calculating the total cost of ownership. This includes:

  • Direct Costs: Labor (internal hours), materials, and equipment.
  • Indirect Costs: Overhead, utilities, and administrative support.
  • Contingency: A “buffer” (usually 10–15%) for unexpected expenses.

2. Financial Tracking & Variance Analysis

You will regularly compare the Actual Cost (AC) against the Planned Value (PV).

  • Monitoring Burn Rate: Tracking how quickly the project is spending its budget.
  • Invoicing: Processing vendor payments and ensuring client billing is accurate.
  • Change Orders: Assessing how a change in project scope will impact the final cost.

3. Reporting

You’ll likely produce a monthly “Cost vs. Progress” report to show leadership whether the project is under or over budget relative to the work completed.

Qualifications

  • Bachelor’s degree in Business, Finance, or any related field.
  • Proven years of project coordination or administrative support experience.
  • Proven ability to track project expenses, manage invoices, and monitor “Actual vs. Budget” spending.
  • Experience assisting with cost estimation, resource allocation, and processing change orders.
  • Exceptional multitasking skills with a sharp eye for detail and documentation accuracy.
  • Strong ability to provide clear financial and progress updates to stakeholders.
